About This Role

Act as the key contact person for parents, staff, teachers, principal, etc at the assigned BGCME site. Manage initial response in crisis situations and contact Area Director as needed. Provide regular clerical and administrative support to the Area Director. Prepares correspondence and reports, maintains schedule and calendar, answers telephone and maintains electronic and hard copy files. Coordinates, supervises, and evaluates activities provided within a specific site, such as Power Hour, Project Learn, Torch Club, Smart Moves, and Triple Play.

What You'll Do

KEY ROLES (Essential Job Responsibilities):

 

  • Function as a key contact person for parents, staff, teachers, principals, etc at the assigned BGCME site.
  • Problem solves with stakeholders as needed.
  • Relay messages to Area Director in a timely manner.
  • Manage initial response in crisis situations and contact the Area Director as needed.
  • Monitor and maintain site staff attendance and transmit attendance data to Programs Director
  • Create an environment that facilitates the achievement of Youth Development
  • Promote and stimulate program participation
  • Register new members and participate in their Club orientation process
  • Provide guidance and role modeling to members.
  • Performs regular secretarial duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature.
  • Maintains master schedule of Club activities and events, collecting and disseminating information to Club staff, volunteers, members and families as instructed.
  • Effectively implement and administer programs, services and activities for drop-in members and visitors.
  • Monitor and evaluate programs, services and activities to ensure safety of members, quality in programs and appearance of the branch at all times. Prepare periodic activity reports.
  • Ensure a productive work environment by participating in weekly branch staff meetings.
  • Answers telephones, providing general information, referring callers to other staff or taking messages as necessary.
  • Maintains electronic and hard copy filing systems, making sure they are accurate and timely and facilitate easy retrieval of information.
  • Monitor office supply inventory and order supplies for the site and each program as necessary.
  • Serve as site receptionist, greeting all visitors and assisting them as needed.
  • Communicating with parents to address any past due invoices.
  • Other duties as assigned.

 

ADDITIONAL RESPONSIBILITIES:

 

          May participate in special programs and/or events.

          May be required to drive Club van.

          Assists other personnel as may be required for the purpose of supporting them in the completion of the organizations work activities.



Requirements

QUALIFICATIONS:

  Must be at least 18 years old

         Degree in Childcare/Education/Social Work or Experience Equivalent (Min 2 Years)

          High School diploma or GED.

Ability to Pass a Drug Screen & TB Screen

          Background Check/Fingerprinting

          Mandatory CPR and First Aid Certifications.

          Valid State Driver's License

          Experience in working with children.

          Demonstrate creative, organizational, and project management abilities.

          Ability to deal effectively with members, including disciplinary issues.

          Demonstrated ability in relationship building and working with young people and parents.

          Ability to motivate youth and manage behavior problems.

          Ability to deal with the general public.
